Let's start by setting up your Financial | Deposit Settings.

From the Main Menu, click on Settings

Use the navigation arrow > on the left side of the heading to navigate to Financial Settings screen.

This rule ensures small bookings (below a specific value) pay the entire amount upfront.

B. FIXED VALUE DEPOSIT

If a Fixed Value Deposit amount has been entered, e.g. 500, this will be the deposit amount required for all bookings, regardless of the value of the trip.

For Odyssey clients using the Xero integration, the Tour start date in Odyssey triggers the balance due calculation in Xero.

You can also switch to Wholesale values if preferred.

TAX TREATMENT

You can export all General Ledger codes using the \"Export all General Ledger Codes\" button. If you have filtered the list by trail, you can also choose \"Export by x Trail\" to export specific data.
Importing General Ledger Codes:
If your business has Odyssey's Xero integration Advanced Module enabled, you can import General Ledger codes directly from Xero. This allows a live pull of data from your configured Xero account, keeping your records up-to-date.

Enter a Description for this Tax Rate, e.g. GST - NZ

Select a Tax Rate percentage from the drop down list

Tick the box if this rate is going to become the Default for new financial transactions

Change the Setting Status from Active to Archived if this Tax rate is no longer in use.

Note that Tax Rates cannot be changed to Deleted, as financial transactions are likely to have been recorded against this tax rate.

Tour operators can track payment statuses for bookings, while finance teams can map payments to General Ledger codes or push them directly to Xero for seamless accounting. Costed is great for package tours with fixed inclusions and standard pricing.

The retail price of each trip component (e.g., accommodation, activities, transfers, bike hire, etc.) is added together, and the client is charged the total of these individual retail costs.
